Kolli is a brand of Backant Inc. ("Company", "we", "our", or "us"). This Privacy Policy explains how we collect, use, disclose, and safeguard information when you visit trykolli.com or use the Kolli application (together, the "Service"). By using the Service, you agree to the collection and use of information in accordance with this policy.

I. Information We Collect

1. Account and Billing Information

When you register, we collect your name, email address, and authentication credentials (or your identity-provider profile if you sign in with Google or GitHub). If you purchase a subscription, billing is handled by our payment processor; we store your plan, usage, and invoice records but not your full card details.

2. Customer Data You Bring to the Service

Kolli is a calling workspace: you may upload or connect prospect and lead data (names, phone numbers, emails, companies), call scripts, and notes. We process this data on your behalf, solely to provide the Service. You are responsible for having a lawful basis to process the personal data of your prospects.

3. Call Recordings, Transcripts, and Messages

When recording is enabled, calls placed through the Service are recorded and transcribed, and AI-generated coaching, scoring, and summaries are produced from those transcripts. SMS messages sent and received through the Service are also stored. Recording can be disabled in workspace settings, and retention periods are configurable (see Section V).

4. Information Collected via Technology

We track information provided to us by your browser or by our software application when you view or use the Service — such as usage data, referring/exit pages, platform type, and click activity. We use cookies and similar technologies for user session preferences and settings, feature usage patterns, performance metrics and error tracking, and authentication status and security tokens. We use both persistent cookies (which remain after your session ends) and session cookies (which expire when your browser closes).

II. A Note for Call Participants

If you spoke with a Kolli customer on a recorded call, that customer is the controller of the recording and transcript; we process this data on their behalf. Requests to access or delete such data should be directed to the company that called you. We will support our customers in fulfilling those requests, and you may also contact us at [email protected].

III. How We Use and Share Information

We use the information we collect to operate and improve the Service, provide customer and technical support, process payments, secure the Service against fraud and abuse, and comply with legal obligations. We do not sell your personal information, and we do not share it with third parties for their marketing purposes without your consent.

We share information with vendors performing services on our behalf and under our direction, including:

  • Amazon Web Services — hosting, storage, AI processing, and transactional email
  • Twilio — telephony and SMS delivery
  • Deepgram — call transcription
  • Stripe — payment processing
  • PostHog — product analytics and error tracking
  • Google / GitHub — sign-in, where you choose these providers
  • CRM, lead-data, and scheduling providers (e.g. HubSpot, Salesforce, Apollo, Calendly) — only where you connect them to your workspace

We may also disclose information in connection with legal processes, to enforce our Terms, to investigate fraud or security issues, or to protect users. Personal data may be transferred as part of a merger, acquisition, or sale of assets, in which case this policy will continue to apply to it.

IV. How We Protect Information

We implement technological security measures including encryption in transit and at rest, firewalls, access controls, and secure socket layer technology. Sensitive integration credentials are stored encrypted. No security measures guarantee against all breaches; we will notify affected users of any breach as required by applicable law.

V. Data Retention

Account data is retained while your Account is active. Call recordings and transcripts are retained according to your workspace retention settings and are automatically deleted when the configured retention period lapses. Billing records are retained as required by tax and accounting law. When you delete your Account, your workspace data is deleted except where we are legally required to retain it.

VI. Your Rights Regarding Personal Information

You may export your data and delete your Account at any time from the Settings page. You may opt out of marketing communications by following the unsubscribe instructions in those messages; administrative and transactional messages (such as password resets and billing notices) continue regardless of marketing preferences.

Depending on your location, you may have additional rights under laws such as the GDPR or CCPA — including the right to access, correct, delete, or port your personal data, and to object to or restrict certain processing. To exercise these rights, contact us at [email protected]. We will respond within the timeframes required by applicable law.

VII. Children's Privacy

The Service is not directed to anyone under the age of 18, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact [email protected] and we will delete it.

VIII. Links to Other Websites

The Service may contain links to third-party websites. Those websites have separate privacy policies that are not covered by this policy, and we are not responsible for their practices.

IX. Changes to Our Privacy Policy

We may update this policy from time to time. Significant changes will be announced with at least 30 days' notice by email or through the Service; non-material changes take effect immediately upon posting.
